  1. Once a course registration is confirmed, changes to another course or cancellations are not permitted. All fees paid are non-refundable, and course slots are non-transferable.

  2. If a participant is absent from the course, it will be considered as an automatic forfeiture. Tuition fees paid will not be refunded, nor can the participant transfer to another course.

  3. Enrollment is on a first-come, first-served basis, and places are limited. Once full, enrollment will close.

  4. Should the number of registrants be insufficient, resulting in the cancellation or postponement of the course, Mind Matters Academy will notify participants via email or phone at least two days prior to the class. If the course is canceled for other reasons, Mind Matters Academy will inform participants as soon as possible. Participants may choose to enroll in another course (with applicable fee adjustments) or request a refund.

  5. Mind Matters Academy reserves the right to make any necessary changes to the scheduled course times or content.

  6. If a participant knows in advance that they will be absent from a scheduled class, they should contact the center as soon as possible. Generally, instructors may arrange for the participant to make up the missed class during the next offering of the same course.

  7. Classes will be canceled in the event of a typhoon warning (signal 8 or above) or a black rainstorm warning. Typically, if such warnings are lifted four hours before the class starts, the class will proceed as scheduled.

  8. If a signal 8 or above is hoisted, ongoing classes will be canceled.

  9. Classes will continue as scheduled if a black rainstorm warning is issued.

  10. Classes canceled due to typhoon or rainstorm warnings will generally be rescheduled for one additional session.

  11. Participants are advised to keep their personal belongings secure during classes. Mind Matters Academy is not responsible for any loss incurred.

  12. Recording, filming, and photography are strictly prohibited during classes without prior permission.

  13. Mind Matters Academy is not liable for any direct or indirect injury, loss of life, or property damage incurred by any participant or individual related to its courses. Participants shall indemnify Mind Matters Academy against any claims, lawsuits, or damages arising from their actions or negligence.

  14. Mind Matters Academy reserves the right to take appropriate actions to ensure the safety and harmony of the center and to prevent any danger, disturbance, or harassment. This may include stopping all activities at the center, suspending classes, requesting disruptive individuals to leave, or notifying the police. No refunds will be provided for any fees paid.

  15. All course content is copyrighted by Mind Matters Academy and may not be reproduced, distributed online, or used illegally. Mind Matters Academy reserves the right to pursue related claims.

  16. Mind Matters Academy reserves the right to modify these terms and conditions at any time without prior notice. In the event of any disputes, the final decision of Mind Matters Academy shall prevail.

Mind Matters Academy places great importance on personal privacy and ensures that all services comply with the requirements of Hong Kong's Personal Data (Privacy) Ordinance regarding the collection, use, storage, transfer, and access to personal data under any circumstances. Purpose of Data Collection

 

Mind Matters Academy uses the personal data you provide to tailor the most suitable treatment/coaching plans for you. Additionally, Mind Matters Academy will use your personal data to provide you with promotional information regarding activities, courses, services, and donations related to Mind Matters Academy and associated entities. You may express or change your preference regarding receiving promotional communications from Mind Matters Academy at any time.

 

Data Transfer

 

The personal data you provide will be accessible only to staff members or designated individuals at Mind Matters Academy who need to know this information for work-related purposes. Mind Matters Academy will not rent, sell, transfer, or disclose personal data to others or entities not related to Mind Matters Academy unless: i. the recipient is an agency, contractor, or service provider offering services to Mind Matters Academy; ii. the service you requested is provided by the relevant individuals/companies; iii. prior consent has been obtained from the data subject; iv. investigations, prevention, or actions are taken regarding illegal activities, suspected fraud, or incidents threatening anyone's safety; v. compliance with all applicable laws, regulations, legal procedures, government requests, administrative systems, or regulatory requirements is required.

 

Accessing and Modifying Personal Data

 

Please ensure that the information you provide to Mind Matters Academy is accurate and take responsibility for updating your information; otherwise, Mind Matters Academy may not be able to provide you with the most suitable services. You have the right to request access to and correction of your personal data and obtain copies of such information. To inquire about or correct your personal data, you may complete the Personal Data Privacy Commissioner’s Access Request Form (OPS003) (https://www.pcpd.org.hk/chinese/publications/files/Dformc.pdf) or apply in writing via email at hk.mindmatters@gmail.com. Mind Matters Academy will verify the identity of the requester when processing requests for access or correction of data to ensure they have the legal right to make such requests. Upon receiving your request, Mind Matters Academy will respond within 40 days and may charge a reasonable administrative fee; Mind Matters Academy may refuse to comply with access requests under circumstances specified in Section 20 of the Personal Data (Privacy) Amendment Ordinance if the applicant fails to provide information reasonably requested by Mind Matters Academy.
